Privacy policy
Last updated November 2, 2026
Punctual Workforce Inc. ("we", "us") is a temporary help agency in Ontario. This policy explains what personal information we collect from job seekers, workers, clients and website visitors, why we collect it, and how we protect it. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
What we collect
- Job seekers and workers: name, contact details, availability, work history, certificates, and the information you give us in applications. Once hired, we also collect what payroll and the law require: Social Insurance Number, date of birth, TD1 tax forms, banking details for payroll, work permit details where applicable, emergency contact, and training records.
- Clients: business name, contact names, phone numbers, email addresses, site addresses and order details.
- Website visitors: what you type into our forms. Our host may keep standard server logs such as IP address and browser type. We do not use advertising trackers.
Why we use it
- To match workers with assignments and contact them about shifts.
- To pay workers, make statutory deductions, and issue pay stubs, T4s and records of employment.
- To meet our duties under the Employment Standards Act, 2000, the Occupational Health and Safety Act and WSIB rules.
- To respond to work orders, quotes and messages, and to invoice clients.
We do not sell personal information, and we do not use it for anything unrelated to these purposes without asking you first.
Who we share it with
- Clients you are assigned to: your name, the role and what they need to supervise you safely. Never your SIN, banking details or date of birth.
- Government bodies where the law requires it, such as the Canada Revenue Agency, WSIB and the Ministry of Labour, Immigration, Training and Skills Development.
- Service providers who work for us under confidentiality terms, such as our payroll provider, our accounting software and our website host (Netlify, which may store form submissions outside Canada).
Consent
By applying, signing up for shift alerts or sending a work order, you consent to us using your information as described here. You can withdraw consent at any time, though we may then be unable to place you or serve you, and we must still keep records the law requires.
How long we keep it
Applications from people we do not hire are kept for up to 2 years so we can contact you about future work, unless you ask us to delete them. Employment and payroll records are kept for at least 3 years after your last assignment, or longer where tax law requires (generally 6 years).
How we protect it
Personal information is stored in password-protected systems that only our staff can access, and paper files are kept locked. We limit access to the people who need it to do their jobs.
Your rights
You can ask to see the personal information we hold about you, ask us to correct it, or ask us to delete information we are not required to keep. Email information@punctualworkforce.com and we will reply within 30 days. If you are not satisfied, you can contact the Office of the Privacy Commissioner of Canada.
